Interim and Follow Up Reviews

Version 5.7 of ServicePoint includes new functionality to allow users to capture data “as of” a specific date.  This new functionality is called “Interim” and “Follow Up” reviews.  ”Interim” reviews are used after a client has entered or enrolled in a program but before the client is exited or discharged.  ”Follow Up” reviews are only used after a client has exited or been discharged from a program.

How do I think about recording information about client stays in my program?

There are several different types of programs that use HMIS to record data about their clients.  Some programs are designed to be short-term interventions (such as Emergency Shelter, Outreach, and PATH), and other programs are designed to be geared toward longer-term solutions to support clients in their housing stability (Transitional Housing, Safe Havens, Permanent Supportive Housing programs).

Given the differences between short-term and long-term programs, there are two distinct ways to conceptualize a timeline of events that need to be recorded in HMIS.  The following video describes the concepts of the two different approaches to client timelines:

Entry Exits for multi person Households in Shelter

Tracking entries and exits from short-term stay programs is relatively easy for individual clients, but tracking the comings and goings of multiple family (or Household) members is a bit more challenging.  The challenge becomes even greater when different household members enter and exit at different times, or when family members exit and re-enter a program multiple times over the course of the family’s entire stay.

The following video describes the process for the correct treatment of  multiple household members at different times, including entering, exiting, and re-entering as needed.  The process also keeps in mind that for shorter-term programs such as Emergency Shelter it is important to achieve two different goals:

1) Proper “grouping” of household members, so that children do not inadvertently become “unaccompanied youth,” and

2) Accurate record keeping of program “stays” in shelter, which for Shelter Funding reimbursement purposes must be accurately counted as reimbursable “bednights.”

Important Training, May 16 2012 – ServicePoint 5.7 Review of Changes and Workflow Updates

On May 16th 2012, we are offering morning and afternoon session to help you  get ready for the new version of ServicePoint. These sessions will be  three locations;  Bangor, Augusta, and Portland.

Each session is limited to a maximum of 25 attendees. Please choose the one time / location you will be attending the training at and complete the registration to reserve your place.

Augusta:

10 AM to noon – Maine Housing Board Room

1:30 – 3:30 PM Maine Housing Board Room 

Bangor:

10 AM to noon – Bangor Public Library Lecture Hall 

1:30 – 3:30 PM – Bangor Public Library Lecture Hall

Portland:

10 AM to noon – USM- 110 Abromson Center

1:30 – 3:30 PM USM 110 Abromson Center


This is the first major upgrade of ServicePoint since 2010. There are some exciting new features in SP 5.7, including a new way to manage household data, which allows for clients to enter and leave a household multiple times, as well as the ability to record interim/annual assessments.

The session will be two hours long and will allow time to walk through various scenarios you might encounter. We strongly recommend that at least one (and preferably more) representative from each agency attends the training.
Note: The planned upgrade ServicePoint to version 5.7 will be in the evening of May 16th.. The new version will be available to all end users on Thursday, May 17th.

AHAR Data Quality Report VIDEO

The 2011 AHAR (Annual Homeless Assessment Report) is due no later than January 13, 2012, but before the data can be finalized we need your help!  Specifically we need you to look at your data for the 2011 AHAR period (which was October 1, 2010 through September 30, 2011) and make sure that the data is as clean as possible.

In order to help you with this task, the HMIS Team created an ART report that will show you your AHAR data.  Please view the following video in order to learn more about the report and what it can do for you:

HMIS New User Training Registration

New User Training  for Maine HMIS and ServicePoint

This training is offered on-line monthly on the first Thursday of the month and the third Wednesday of the month. Click on one of the links bellow to select the date and time that works best for you and Register for the class.

Register for HMIS New User Training , (the first Thursday training may be taken on line or ‘live’ at the MaineHousing office at 353 Water Street, Augusta, ME, The Third Wednesday of every month training time is offered on-line only.)

Prerequisite note: A completed User Policy and Agreement Form must be received prior start of class for attendance to be counted for granting new HMIS user access to ServicePoint.  This class may also be taken by existing user as a refresher course.

The class will cover:

Login to ServicePoint®
Navigate to ClientPoint
Search for Client Records
Input Client Data via ClientPoint
Configure and manage Households
ServicePoint Summary screen data entry workflow
Add Entry/Exit and Services data to a Client Record.

Successful completion of the HMIS New User Training is required prior to a user being allowed to access The Maine HMIS ServicePoint system.

Note: Our GoTo Training software assumes that each registrant will have a distinct email address and will not allow two registrations for the same email address for the same class. In terms of things like on-line tests the assumption is each participant will login using a different machine so that the test represents their work not a group effort.
